Chapter 6

Check stock and set a reorder level Inventory → Stock items

  1. The list shows quantity on hand, average cost and total value for every tracked item.
  2. Open an item and set its Reorder level — the quantity at which it should be flagged.
  3. History shows every movement in and out, with the running quantity after each.

The reorder level is the only field you can edit here. Quantity comes from actual movements — it is never typed.

Stock out and stock in Inventory → Stock dispatch / Stock receive

  1. Dispatch is goods leaving against a sales invoice — see chapter 2.
  2. Receive is goods arriving against a vendor bill — see chapter 3.
  3. Both screens list what is outstanding, so you can work from them rather than hunting for the document.

These are deliberately separate jobs from invoicing and billing. The storekeeper records what physically moved; the office records what was charged. They do not have to happen on the same day, or by the same person.

Adjust stock after a count Inventory → Stock adjustments

  1. Record adjustment. Choose the item and the date.
  2. Enter the quantity difference — positive for stock found, negative for stock missing or broken.
  3. Write the reason. This is the only explanation anyone will have later.

An adjustment posts immediately and changes both the quantity and the stock value. A decrease is always valued at weighted average cost, not at what you paid most recently.

Use this for stocktake differences, breakage and found stock — never to correct a wrong dispatch. Reverse the dispatch instead.
